We operate an online webstore alongside physical warehouse, distribution, and installation facilities in Queensland and Victoria. We service both Business-to-Consumer (B2C) retail buyers and Business-to-Business (B2B) wholesale partners. 

We are committed to handling all personal data in compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). 

 

1. Types of Information We Collect 

We collect information that is reasonably necessary to supply premium 4WD interior accessories, process online transactions, manage corporate accounts, and execute safe in-store installations. 

A. Business-to-Consumer (B2C) Data 

  • Contact Details: Full name, residential or commercial shipping address, billing address, personal email, and telephone number. 

  • Transactional Records: History of products viewed, items added to shopping carts, purchases made, and any customer support logs. 

  • Form Submissions: Granular technical vehicle requirements, custom structural accessory choices, installation preferences, and contact details submitted to obtain specialized quotes. 

  • Digital Metrics: IP addresses, browser variants, network connections, and user movement patterns on our website. 

B. Business-to-Business (B2B) Data 

  • Corporate Identifiers: Registered business name, Australian Business Number (ABN), operational addresses, and trading histories. 

  • Account Representatives: Names, corporate emails, phone numbers, and job titles of purchasing officers, warehouse coordinators, or regional authorised distributors. 

  • Financial Profiles & Form Submissions: Business credit evaluations, trading reference sheets, corporate banking details, and director guarantees submitted through digital application documents. 

C. In-Store and Physical Facility Data (QLD & VIC Nodes) 

  • Vehicle Asset Specifications: Vehicle Identification Numbers (VINs), license plates, and exact automotive makes/models required for interior installations or custom modifications. 

  • CCTV Imagery: Visual video recordings captured within public spaces, administrative areas, or loading bays at our Queensland and Victoria storefronts for safety, surveillance, and loss prevention. 

 

2. How We Collect Personal Information 

We gather data through distinct interaction channels: 

  • Direct Digital Interactions: Filling out digital fields on the 4WD Interiors Webstore, creating user profiles, subscribing to newsletters, or submitting online inquiry, quote, and credit application forms powered by secure cloud intake platforms. 

  • Direct Physical Interactions: Engaging with team members at our physical premises, filing product warranties, booking vehicle installations, or dropping vehicles at our installation nodes. 

  • Automated Website Technologies: Data collected through passive online trackers, tracking pixels, and browser cookies as you browse our webstore. 

  • B2B Onboarding Pathways: Credit account requests, distribution inquiries, or master supply contract documentation. 

 

3. Purpose of Collection, Use, and Disclosure 

We use and disclose collected information strictly for primary business activities, including: 

  • Fulfilling, tracking, and distributing ordered products. 

  • Tailoring structural vehicle attachments and coordinating physical installations. 

  • Managing B2B trade applications, establishing commercial lines of credit, and issuing tax invoices. 

  • Supplying safety advisories or issuing product recalls to verify structural integrity. 

  • Sending out contextual sales campaigns or processing digital shopping carts left incomplete. 

 

4. Integration with Third-Party Platforms and Systems 

To ensure efficient digital sales and backend management, our operational pipeline relies on external core software ecosystems: 

A. Online Retail Framework (Shopify) 

Our virtual webstore infrastructure is hosted using Shopify. When purchasing items via our online store, your commercial or personal data is processed through Shopify's secure networks. All credit or debit transactions are handled through secure, PCI-DSS compliant third-party processors (such as Shopify Payments / Stripe). 4WD Interiors does not record or maintain your raw financial credit card details. 

B. Commercial Wholesale Invoicing (Xero & Future Bespoke Portal) 

We manage commercial trade accounts and credit lines through Xero. Corporate variables—including registered names, ABN status, and commercial billing tracks—securely synchronize between Shopify and Xero for accounting integrity. 

  • Notice of Systems Migration: We are actively designing a proprietary, bespoke B2B Web Portal to absorb wholesale inventory operations and trade records natively. Once deployed, B2B data tracks will transition to this internal custom framework. This customized platform will enforce identical or elevated privacy safeguards, and will not alter the usage rights of your historical information without explicit notification. 

C. Digital Application and Quote Collection (Microsoft Forms) 

We utilize Microsoft Forms to host and capture digital intake applications. Wholesale applicants submit trade references, corporate governance data, and business credit requests directly through our secure B2B forms. Retail customers use these forms to submit custom vehicle configurations to obtain accurate quotes for our Queensland and Victoria installation bays. Information captured via Microsoft Forms is securely processed and manually or digitally transferred into our core database, Shopify platform, or Xero accounting framework to compile quotes and establish trade files. 

D. Heavy Freight and Distribution Channels 

Because many structural modifications (such as storage drawer setups or custom roof panels) exceed standard shipping limits, your delivery specifications (name, contact numbers, and commercial/depot coordinates) are shared with logistics networks and commercial freight services. 

 

5. Cross-Border Data Flows (APP 8) 

To maintain our global webstore, cloud intake, and cloud accounting frameworks, technical data may be processed on secure systems outside Australia: 

  • Data routing through Shopify may be transmitted or held internationally within hubs like the United States, Canada, and Singapore. 

  • Financial accounting ledger tracks within Xero are anchored inside cloud infrastructure (such as Amazon Web Services) situated inside the United States. 

  • Information processed through Microsoft Forms is managed via Microsoft 365 enterprise cloud networks. This data is hosted securely within data centres located inside Australia or across global Microsoft Enterprise infrastructure. 

We execute all reasonable reviews to ensure our structural tech providers secure your information in compliance with the Australian Privacy Principles (APPs). 

 

6. Information Security and Storage 

We protect your data from theft, modification, and disclosure using multi-layered physical and digital security controls: 

  • Digital profiles, database entries, and cloud form platforms are locked behind multi-factor authentication (MFA) protocols and restricted user permissions. 

  • Physical installation bay data sheets, VIN records, and keys are held in locked facility offices within our QLD and VIC branches. 

  • Closed-circuit television (CCTV) records are overwritten systematically on local storage nodes unless flagged for legal or incident analysis. 

We purge, scrub, or completely anonymise data assets when they are no longer required for legal auditing or operational purposes. 

 

7. Access, Correction, and Data Rights 

Under the APPs, you have the right to request access to the personal data we hold about you and to ask for corrections if that data is inaccurate, out of date, or incomplete. [1]
